Xiphos’ primary markets are small satellites, space station applications, as well as lunar landers and rovers. Main Tasks
Xiphos is looking for a detail-oriented Production Materials & Logistics Coordinator to manage the accurate, traceable movement of materials and products from receiving through production and customer shipment. Reporting to the Production Lead, you will coordinate receiving, released-job preparation, kitting, inventory and KANBAN control, packing, shipping, and the related system and quality records. You will work closely with Production, Supply Chain, Quality, Test Engineering, couriers, customers, and internal stakeholders. Because this role involves hands-on hardware and daily operational coordination, the position is entirely on-site.
You will play a central role in keeping flight hardware, production materials, and customer shipments accurate, traceable, and moving on schedule.
Responsibilities
Materials Handling And Production Support

Prepare engineered and released production jobs by issuing materials, assigning serial numbers, and verifying serial number matching.

Kit materials for released job orders using bills of materials and work instructions, confirming that all required components and quantities are available before production begins.

Monitor material availability, investigate shortages and discrepancies, communicate production risks, and coordinate purchasing or replenishment needs with the Supply Chain team.

Maintain KANBAN stock and related parts, requesting replenishment as needed.

Receive completed jobs into inventory and complete the required ERP and Redmine transactions accurately and on time.

Maintain accurate inventory, KANBAN, job, and traceability records, including material movements, job status, photographs, and AS9100 quality files.

Validate information across ERP, Redmine, bills of materials, job records, and inventory records, resolving inconsistencies before materials or products are moved.
Shipping And Logistics

Coordinate incoming and outgoing shipments, ensuring materials and products are properly received, labelled, documented, photographed, stored, and dispatched.

Verify shipment contents, part and serial numbers, quantities, packing lists, and supporting documentation to maintain full traceability.

Pack electronics, boards, assemblies, sensitive parts, and other items according to handling requirements, packing lists, and customer instructions.

Coordinate domestic and international shipments with FedEx and other couriers, including waybills, commercial invoices, customs paperwork, and other required documentation.

Maintain accurate receiving and shipping records and verify information across shipping platforms, packing lists, inventory records, and customer communications.

Maintain shipping supplies and packing materials, requesting replenishment as needed.

Serve as a point of contact for shipping, receiving, and material status inquiries.
Qualifications

College or university education in supply chain, logistics, operations, engineering technology, or a related field, or an equivalent combination of education and relevant experience

Ability to obtain Canadian government security clearance under the Canadian Controlled Goods Program

At least two years of hands-on experience in logistics, shipping and receiving, material handling, inventory control, or production support in a manufacturing or technical environment

Reading and following job orders, bills of materials, work instructions, packing lists, and material lists

Safe packing and handling of electronics, boards, sensitive parts, or technical assemblies

Accurate data entry and computerized ERP or inventory transactions, including component identification, serial-number matching, and discrepancy resolution

Preparing and reviewing shipping, receiving, and inventory documentation with a high degree of accuracy

Coordinating priorities and following up across production, supply chain, quality, carriers, and other stakeholders

Maintaining organized, complete, and traceable records in a regulated or quality-controlled environment

Managing multiple time-sensitive tasks and solving day-to-day operational problems with limited supervision

Microsoft Office applications, including accurate use of spreadsheets and business communications
